Instructions for Presenters


Oral Presentations
Please make sure that your presentation is compatible with Windows PowerPoint 2010 and is ready to transfer from a USB stick / Pen drive. Please be aware that audio and video files often do not transfer well to AV systems and they should be avoided unless they have been pre-arranged with the AV technicians. Please verify the printed program provided at registration, as well as posted program changes, for the time and place of your presentation. The smooth running of the conference presentations is dependent on all presentations being loaded into our AV system as early as possible. Plenary talks are 15 minutes in length. Please plan accordingly. Parallel session talks are 10 minutes with 5 minutes for questions. Chairing will be strict to ensure all presenters have sufficient time and the audience has discussion/question time.
All presenters need to report to the room where their presentation will take place to load their powerpoint. AV technicians will be available to upload all power point talks. You should report to the AV technician in the relevant room as far in advance as possible - on arrival, early morning or at the latest at least 30 minutes prior to the session. Ideally uploading your talk on arrival in Santa Fe will assist in the smooth running of the conference. Can all speakers be present in their allocated session for the duration of the session.

Poster Presentations
All poster presentations have been notified. Poster board dimensions: 4 foot high x 8 foot wide (Maximum). They will be set horizontally (landscape). Posters can be smaller than the maximum. All posters must be hung before 9:00am on Monday and will be on display for the duration of the conference. All posters need to be removed at 18.00 on Wednesday 14th September. There are no storage facilities and posters will be removed by staff after this point and paper recycled. Poster presenters are asked to be present at their poster during the lunchtime sessions on Tuesday 13th and Wednesday 14th September.
Guidance for preparation:
  • Large clear title and authors should be prepared for each poster.
  • Small type should be avoided, and clear graphs or visuals help convey messages.
  • Delegates appreciate handouts in the form of a brief summary page.
  • Poster presentations are eligible for submission for the AIDSCare special issue. (Details below)
